Our client is a large and complex Queensland organisation responsible for delivering critical infrastructure and services across the state.
This team operates within a major capital delivery environment and supports project teams to move efficiently through assurance processes, key review points and project milestones.
About the Role
This role is focused purely on project assurance coordination.
The successful candidate will not be responsible for technically reviewing and approving project documentation. Instead, the focus is on running the assurance process, coordinating activities, managing timelines, tracking actions and ensuring the right people and documentation are in place at the right time.
You will work closely with Project Managers, Project Directors and internal stakeholders across a portfolio of projects to keep assurance activities moving and ensure requirements are completed within agreed timeframes.
Your responsibilities will include:
- Coordinating assurance activities across multiple projects and programs
- Managing assurance schedules, timelines, actions and deliverables
- Working with Project Managers to ensure required documentation is prepared and submitted on time
- Coordinating stage gate and other formal assurance activities
- Organising assurance meetings, workshops and review sessions
- Tracking actions, outstanding requirements and agreed next steps
- Following up stakeholders to ensure actions are completed and closed out
- Maintaining assurance registers, trackers, systems and supporting documentation
- Preparing and coordinating assurance packs, reports, presentations and supporting materials
- Providing regular updates on assurance progress, upcoming activities and outstanding actions
- Supporting improvements to assurance processes, templates and tracking mechanisms
About You
We are looking for someone who is highly organised, process driven and comfortable coordinating multiple moving parts across a busy project environment.
You will be confident engaging with Project Managers and senior stakeholders, following up actions and keeping assurance activities on track.
You will ideally bring: - Experience within project assurance, project coordination, PMO or project controls
- Strong experience managing processes, actions, timelines and competing priorities
- Exposure to stage gates, assurance reviews or formal project review processes
- Experience maintaining trackers, registers and project documentation
- Confidence following up Project Managers and stakeholders on outstanding requirements
- Strong attention to detail and a structured approach to work
- Strong written and verbal communication skills
- Experience preparing reports, presentations and project support materials
- Intermediate to advanced Microsoft Office skills, including Word, Excel, PowerPoint, Teams and SharePoint
Experience within infrastructure, utilities, government, construction or major capital projects would be highly regarded.
