Role Overview



The Workday Recruiting & Onboarding Consultant provides expert functional leadership across Workday Recruiting and Onboarding (including pre‑hire and post‑offer processes). The role designs, configures, and optimises end‑to‑end candidate and new‑hire journeys—from job requisition to offer, background checks, preboarding tasks, provisioning, and Day 1 readiness—driving efficiency, compliance, and a great user experience for recruiters, hiring managers, and candidates.

The consultant partners with TA, HR Operations, Hiring Leaders, Security/IT, Payroll, and Compliance to deliver scalable solutions, release features, reporting, and operational excellence, on a 4-month contract with possible extension, in the location of Melbourne on Hybrid work schedule.




Key Responsibilities:

  • Provide day‑to‑day functional support across Workday Recruiting and Onboarding (pre‑hire onboarding and hire processes).
  • Triage incidents, conduct root cause analysis, and deliver fixes/enhancements; collaborate with security and integrations teams.
  • Maintain configuration: Business Processes (BPs), routing/approvals, questionnaires, conditions/validations, notifications, templates, and security roles.
  • Configure and optimise Job Requisitions, Job Applications, Screening, Assessments, Interview scheduling, Offer & Contract generation, Background checks, and Pre‑employment steps.
  • Maintain job posting and career site settings, EEO/DEI fields (as applicable), and candidate communication templates.
  • Standardise recruiting workflows by job family/region; ensure compliance with policy, privacy, and local labour requirements.
  • Configure Onboarding Setup including pre‑hire tasks, country‑specific packs, provisioning checklists (IT access, equipment), policy acknowledgements, tax/bank/ID collection, and Day 1 activities.
  • Coordinate cross‑module touchpoints (HCM → Security/IT, Payroll, Time, Absence, Learning) to ensure a cohesive new‑starter experience.
  • Design role‑based and location‑based variations for frontline vs. corporate and contingent vs. employee (if in scope).
  • Build and enhance Advanced/Composite/Matrix reports and dashboards for recruiting pipeline, time‑to‑hire, source effectiveness, conversion rates, offer acceptance, onboarding completion, and candidate experience metrics.
  • Maintain Calculated Fields, prompts, distributions, and security for recruiting/onboarding reporting.
  • Provide audit‑ready reporting for compliance, background checks, and hiring approvals.
  • Collaborate on EIB/Core Connector/Studio integrations with ATS partners, job boards, background screening vendors, HRIS/MFA/security provisioning, document management/e‑signature, and learning.
  • Own data migration specs (requisitions, candidates, interviews, offers) and support data quality and deduplication.
  • Validate end‑to‑end flows from requisition to hire, including worker data readiness for downstream modules.
  • Lead/participate in Workday Releases (semi‑annual): assess features (e.g., candidate experience, job application flows), run regression testing, and promote adoption.
  • Run discovery/design workshops, produce requirements, functional designs, process maps, test scripts, and cutover plans.
  • Support rollouts (new business units/countries), mergers/divestments, employer brand refreshes, and recruitment transformation.
  • Develop configuration guides, process documentation, quick reference guides (QRGs), and manager/recruiter training materials.
  • Deliver enablement sessions for recruiters, coordinators, hiring managers, and HR operations.
  • Champion consistent usage of templates, pipelines, and recruiting/onboarding best practices.

Required Skills & Qualifications:

  • 3–7+ years as a Workday Recruiting and/or Onboarding Consultant/Analyst with hands‑on configuration experience.
  • Strong command of Business Process configuration, security, condition rules, validations, templates, and questionnaires.
  • Experience designing requisition‑to‑offer and pre‑hire
