We are seeking a professional and highly organised Executive Assistant
to support the Chief Executive Officer in a fast-paced, multi-site environment. This role replaces the outgoing EA and offers a unique opportunity to contribute at the executive level.
About the Role
Reporting to the Executive Advisor, you’ll work closely with the CEO, providing essential administrative and coordination support. The role demands flexibility, strong communication skills, and confidence working with C-Suite executives, board members, and government stakeholders.
Key Responsibilities
- Executive-level diary management and prioritisation of engagements
- Coordination and preparation of board papers
- Organising weekly Executive meetings (shared among a team of ~5 EAs)
- Taking minutes and distributing accurate documentation in a timely manner
- Supporting external stakeholder meetings, including with Members of Parliament
- Liaising with internal departments and external partners
- Preparing reports, presentations, and briefing materials
- Coordinating events and meetings across multiple sites
- Monitoring progress on key projects and ensuring timely follow-up
- Supporting travel logistics and occasional recruitment or procurement tasks
About You
To succeed in this role, you’ll have:
- Proven experience supporting a CEO or executive at C-Suite and board level
- Strong organisational and communication skills
- High attention to detail and ability to prioritise under pressure
- Confidence managing dynamic workloads and working across sites
- Flexible and professional approach to stakeholder engagement
- Proficiency in Microsoft 365 and strong administrative systems knowledge

- Approximately five EAs share responsibilities across the executive team
- Expect regular travel between sites including Broadmeadows, Docklands, Cremorne, Essendon, Port Melbourne and Bendigo (once a month)
- Parking available at all sites except Docklands
Additional Information
- A current Working with Children Check and satisfactory police check are required
- Hybrid arrangement: 1–2 days working from home
