About the Role
Reporting to the Chief of Staff, Office of the Mayor, and working closely with the Executive Assistant, this role provides a high level of confidential, professional and competent executive and administrative support to the Mayor.
You will play a key role in ensuring the efficient and effective day-to-day operation of the Office of the Mayor, exercising sound judgement, discretion and initiative in a politically sensitive environment.
- Provide high-level, confidential executive and administrative support to the Mayor, with a strong understanding of political sensitivity and discretion.
- Support the day-to-day operations of the Office of the Mayor in collaboration with the Executive Assistant.
- Manage Mayoral correspondence, including drafting, research, tracking and records management using corporate information systems.
- Coordinate and manage the Mayor’s diary, including invitations, meetings and appointments with community members, councillors, executive leadership, departments and external organisations.
- Arrange and prepare for internal and external meetings and events, ensuring effective coordination and follow-up actions.
- Liaise with council officers, councillors and external stakeholders in relation to information requests and correspondence, ensuring timely responses and outcomes.
- Organise internal meetings between the Mayor, Councillors, Executive Leadership Team members and departmental representatives.
- Process expense reimbursement claims and maintain office supplies and stationery for the Office of the Mayor.
- Contribute to the general administration of the Office of the Mayor, proactively addressing issues as they arise and reporting to the Chief of Staff.
- Comply with organisational policies, Code of Conduct, human rights obligations, workplace health and safety requirements, and contribute to a respectful and inclusive workplace culture.
- Where appropriate, support disaster response and recovery activities aligned to the role’s function.
About You
To be successful in this role, you will bring a high level of professionalism, discretion and initiative, along with strong executive support capability in a complex organisational environment.
- Substantial administration experience in a large corporate environment, ideally within local government.
- Proven experience providing high-level confidential executive support, including diary management and the preparation of written correspondence.
- Excellent written and verbal communication skills, with the ability to liaise effectively with Councillors, executive leaders, staff at all levels, government agencies and members of the public.
- The ability to work under pressure, with minimal supervision, demonstrating strong planning, organisation and time management skills.
- A sound understanding of the role of local government, its interaction with the community, and the functions of internal departments.
- A strong commitment to customer service, effective information dissemination, and enhancing the organisation’s public image.
- Demonstrated experience using a range of corporate software applications.
- Tertiary qualifications in business administration or a related discipline will be highly regarded.
