Davidson is partnering with a state government client who is seeking an experienced Senior Legal Secretary (AO3) to join their team for an initial period of six months, with potential for extension. This opportunity will be engaged via agency and offers the chance to support a high‑performing legal practice delivering critical services.
About the Role
As the Senior Legal Secretary, you will provide high‑quality, timely, and accurate secretarial and administrative support within a fast‑paced legal team environment. You will work closely with the executive legal secretary to ensure exceptional service delivery and operational efficiency.
- Deliver high‑level and accurate word processing and typing.
- Complete complex document formatting across Microsoft Word, PowerPoint, and PDF formats.
- Prepare briefs, legal documents, and routine correspondence.
- Manage the flow of incoming and outgoing correspondence.
- Coordinate travel and accommodation arrangements.
- Support information management processes, including Excel spreadsheets, practice management systems, and VisualFiles databases.
- Provide diary management, organise meetings, conferences, and appointments.
- Maintain filing systems, records, bring‑ups and retrieval processes.
- Assist legal professionals to meet financial deadlines, including billing and time recording.
- Ensure compliance with procedures relating to legal expenses and counsel fee payments.
- Liaise with internal and external stakeholders on a range of matters, including confidential and sensitive issues.
- Ensure all services are delivered in a professional and timely manner.
- Apply effective communication and problem‑solving skills to address and resolve issues as they arise.
- Model client service standards and uphold our client’s values.
- Undertake additional duties as required to support operational needs.
- Work collaboratively with Practice Management Branch staff on team and whole‑of‑practice matters.
About You
- Demonstrated experience providing secretarial and administrative support within a legal environment.
- Strong adaptability, willingness to learn, and the ability to work effectively in a fast‑paced setting.
- High‑level attention to detail and competency in document preparation and formatting.
- Excellent communication and stakeholder engagement skills.
- Strong organisational skills with the ability to manage competing priorities.
- Professionalism, discretion, and commitment to quality service delivery.
Important Information – Exposure to Trauma and Vicarious Trauma
This position sits within a team whose work may involve exposure to disturbing or distressing material, including criminal behaviour, explicit content, and other sensitive information.
Our client has a comprehensive vicarious trauma framework in place, covering recruitment, induction, wellbeing maintenance, intervention, and exit procedures. Strong support mechanisms are available to assist staff in managing the impact of vicarious trauma and maintaining wellbeing.
