About the Role

Reporting directly to the Director, the Administration Manager will play an integral role in overseeing the client service and administrative functions of the business.

This is a hands-on leadership opportunity for someone who enjoys being at the centre of operations, building strong relationships and ensuring the business runs efficiently. Working closely with the Director and advisory team, you will take ownership of day-to-day administration while identifying opportunities to improve processes, enhance client experiences and support the continued growth of the business.

Key responsibilities include:

  • Oversee the administration and client service functions, ensuring consistently high standards of service delivery.
  • Act as a key point of contact for clients, building trusted relationships and managing enquiries with professionalism and care.
  • Coordinate client meetings, manage Adviser diaries and oversee the preparation of meeting documentation and reports.
  • Work closely with the Director and Senior Advisers to manage priorities, streamline workflows and provide proactive administrative support.
  • Maintain accurate client records, documentation and compliance requirements.
  • Identify and implement opportunities to improve administrative systems, processes and operational efficiencies.
  • Support and guide the administration team, fostering accountability, collaboration and a positive working environment.
  • Contribute to wider business initiatives and support the ongoing growth and success of the firm.

About You

We are seeking an experienced administration professional who takes pride in delivering exceptional service, enjoys supporting others and has the confidence to take ownership of a busy administrative function.

You will be highly organised, approachable and proactive, with the ability to anticipate business needs, manage competing priorities and build strong relationships with clients and colleagues.

To be successful, you will demonstrate:

  • Proven experience in a senior administration, office management or client services role, ideally within financial services or a professional services environment.
  • Experience leading, mentoring or coordinating an administration or client services team.
  • Exceptional organisational and time management skills, with the ability to balance multiple priorities.
  • Strong interpersonal and communication skills, with a natural ability to build rapport and maintain professional relationships.
  • High attention to detail and a commitment to accuracy, particularly when managing confidential information and documentation.
  • A proactive and solutions-focused mindset, with the confidence to identify improvements and challenge existing processes.
  • Strong technical capabilities and the ability to learn and adapt to new systems.

Above all, you will be someone who genuinely enjoys making others' lives easier, takes accountability for their work and thrives in a collaborative environment where everyone contributes to the success of the business.

The Benefits

  • Join an award-winning organisation with an established, people-focused culture.
  • Work directly with the Director and play a key role in the day-to-day operations of the business.
  • Take ownership of a critical function with the opportunity to influence processes and drive improvements.
  • Be part of a supportive and collaborative team that values initiative and accountability.
  • Join a business committed to professional development, continuous improvement and long-term success.
