The role of a Divisional Assistant is to provide high level executive and administration support to the General Manager of Asset Creation and Management and wider team. This position is a 12 month fixed term contract.  

About the Role

Being exceptionally organised, a problem solver and personable is key to succeeding in this position. The responsibilities include but are not limited to:
  • Diary management for the GM and team, booking meetings and set up of video conferencing equipment
  • Prepare documentation for stakeholder meetings and presentations
  • Create and format advanced PowerPoint presentations, reports and correspondence
  • Booking domestic and international travel including flights, accommodation, transfers and car hire
  • Credit card reconciliation and monthly expenses, processing invoices
  • Communication with internal and external stakeholders as required
  • General administration support: answering phone enquiries, taking messages, printing, scanning, filing and archiving documents, mail distribution
  • Ordering and monitoring office supplies
  • Supporting staff with IT issues and set up

About You
  • You will have a minimum of 4 years experience in a similar position
  • Experience within the property industry would be highly regarded
  • Exceptional communication- both verbal and written
  • Organised with the ability to work to deadlines
  • Strong interpersonal skills and able to build strong relationships
  • Intermediate Microsoft Office – Word, Outlook, PowerPoint & Excel
