About the Company

A well-respected Government department is looking for an experienced Executive Officer who will provide secretariat support to contribute to the delivery of major projects for the department. 

About the Role

Your responsibilities will include

  • Coordinate the delivery of governance meetings including the Board and committees involving formulating agendas, preparing and distributing papers, taking minutes and coordinating follow up actions.
  • Collaborate with senior stakeholders to coordinate procurement transactions
  • Manage and coordinate multiple project team documentation process
  • Implement processes to facilitate ongoing improvements to business systems, documentation and workflows
  • Coordinate and undertake research and analysis of best practice on processes and activities to ensure internal and external services are delivered efficiently
  • Manage and coordinate the process and governance aspects of major project procurements, including supporting panels and committees
  • Prepare, manage and review tender documentation, agendas, minutes and reports
  • Act as the executive point of contact, manage the electronic tender portal and document security, and liaise with stakeholders and action requests to coordinate communication

About You

To be successful in this role the ideal candidate will have

  • Minimum of five years' experience in providing high level administrative and secretariat support
  • Demonstrated strong experience in a similar role within State Government
  • Background of procurement or legal would be preferred 
  • Demonstrated highly developed project management and organisational skills
  • Ability to handle multiple tasks, with proven self-initiative and problem solving abilities
  • Excellent presentation and communication skills both written and verbal
  • Highly developed interpersonal skills with experience of working in an agile team environment where working collaboratively, effectively and efficiently is critical to success
  • Knowledge and experience in providing secretariat services to a board and/or committee is highly desirable
